Operating at the heart of our business, Shared Services offer efficiencies to all of our Brands by providing centralised resources and competitive synergies for the Group. The Shared Services Teams work across all Brands and are responsible for a huge range of activities from delivering product to over 40 countries worldwide, to achieving award winning store designs and handling 100,000 Customer Care calls each year. Within Shared Services there are over 1,000 employees working across 16 distinctive departments including International, IT, Finance, HR, Logistics, PR, Property, Digital and Sourcing.

The Role:

The AP Manager will be responsible for managing a team of 35 through 3 direct reports. You will manage all allocated resources effectively and efficiently delivering a best in class service to both internal and external customers. This is a key role within Transactional Services that interacts closely with various business units (Purchasing, multiple brand B&M teams, Logistics, Finance and Legal) to ensure timely and accurate payment of goods for and goods not for resale supplier Invoices. You will have knowledge of OCR (optical character recognition) and ERP implementation projects to support our finance transformation program.

Day to Day:

  • Responsible for BAU system, process and business change during finance transformation as a major stakeholder in ERP Payables process delivery
  • Drive effective team performance through the daily review of KPI’s, ensure all risks and concerns, along with potential solutions are escalated in a timely manner to senior management
  • Develop teams understanding of all key activities across AP (end to end)
  • Coach and mentor to ensure continued professional development whilst achieving departmental service level agreements
  • Conduct 121’s and lead team meetings to drive ownership of roles and responsibilities
  • Accurate amendments to supplier bank details and new set up in line with controls and company policy
  • Accurate processing of supplier invoices, developing an understanding and awareness of financial impacts caused by non-compliance
  • Resolution of internal and external queries, escalating potential areas of risk to senior management
  • Timely approval of supplier payments, liaising with treasury department to provide visibility of cash flow
  • Ownership of internal expenses process, providing timely payment for employee claims
  • Maintenance of creditors debit balances, completing month end procedures in accordance with policy
  • Support implementation and education of AP and stakeholders of “No PO no Pay” best practice
  • Accountability for ensuring all balance sheet reconciliations are prepared and independently reviewed on a monthly basis in accordance with Accounting Centre policies

Must Haves:

  • Either AAT qualified or equivalent accounting qualification is desirable but not essential
  • Prior experience as a project stakeholder for change or implementation/transformation of automated P2P solution
  • Experience of business and supplier engagement to support change and training
  • Credible leader with the ability to improve productivity and drive change
  • Experience of managing a large team in a complex organisation
  • Good attention to detail with the ability to prioritise tasks accordingly and manage a varied workload
  • Strong numeracy and analytical skills with the ability to investigate queries thoroughly and accurately
  • Ability to build strong relationships and work collaboratively across the various Arcadia brands
  • Good knowledge of purchase to pay and accounting principles, activities and processes
  • Strong written and oral communication skills and ability to present and deliver proposals to senior management within the business
